Service Administrator

Scotland Regional Office

Responsible for:

 

Working with the Operations Manager you will be responsible for the co-ordination of all administration duties, with the overall function to provide efficient and seamless administration.

 

Main Duties:

 

Providing a professional and courteous telephone service to internal and external customers

Schedule and Book monthly maintenance services with clients and engineers and place in diaries

Ensure that all monthly services are on the engineers PDA’s

Manage the reactive call work stream, schedule new service contracts on the in-house maintenance system

To enter customer quotations and quotation follow-up letters on dedicated service management system.

To ensure all paperwork is appropriately sent to clients – RAMS etc

To capture all office data as required within the general administration remit.

Process and verify all engineers paperwork

Prepare timesheets

Constant communication with customers

Daily control of engineers job loading

Provide administration assistance to all business units as required

Any other duties as required by management.

In addition to the above, the post-holder will also be required to undertake additional duties as required.

 

Person specification:

 

Able to demonstrate commercial acumen.

Excellent IT Skills (Microsoft Excel and Word).

Meticulous attention to detail.

Professional telephone manner.

Excellent communication skills both written and verbal.

Effective time management skills.

 

In addition to the above, the post-holder will also be required to undertake additional duties as appropriate to the nature and level of the role.
