Responsible for:

To provide an efficient and seamless administration service to the Swanley Village, Kent, Regional Office.


Main duties:

  • To provide a professional and courteous telephone service to internal and external customers
  • To schedule service visits with customers each month
  • To manage the reactive call work stream
  • To schedule new service contracts on the in-house maintenance system
  • To ensure all paperwork is appropriately distributed internally and externally
  • To capture all office data as required within the general administration remit
  • Process and verify all engineers’ worksheets
  • Co-ordinate engineers movements for both reactive and preventative works
  • Prepare time sheets each week
  • Constant communication with customers
  • Provide administration assistance to all business units as required
  • Any other duties as required by management

Person specification:

Desirable:

NVQ Level 2 or above in Business Administration or Customer Service.

Essential:

  • Ability to prioritise competing workloads whilst under pressure
  • Be able to demonstrate commercial acumen
  • Excellent IT Skills (Microsoft word and use of customer portals)
  • Meticulous attention to detail
  • Professional telephone manner
  • Excellent communication skills both written and oral
  • Effective time management skills

In addition to the above, the post-holder will also be required to undertake additional duties as appropriate to the nature and level of the role.
